RefWorks: Organizing and sharing citations

Guide to using the new and improved RefWorks for saving citations and articles for your research.

Connecting Dropbox to RefWorks

If you enable this feature, RefWorks will save a copy of documents to Dropbox so you can read them offline. You will need a Dropbox account and you should have the Dropbox app installed on your PC or mobile device for offline access.

To use Dropbox with RefWorks, click on your name at the top of the RefWorks page and select Settings. Scroll down to the Dropbox section of the page and click the Connect button to enter your Dropbox credentials. RefWorks will create a new folder in Dropbox and will display the location of that folder.

Note that connecting RefWorks can quickly fill your Dropbox. Basic Dropbox accounts (with limited storage) are free. Dropbox offers options for increasing space or upgrading to a paid account. See the Dropbox site for more information. RefWorks offers unlimited storage, but using RefWorks requires an internet connection.

How do I set up folders in RefWorks?

To create a new folder, click "My Folders" in the RefWorks menu, then "+Add a Folder" and enter a name.

Links to documents and citations are all listed in the All Documents section in the Library. From any folder, you can select boxes next to items and assign them to one or more folders by selecting "Assign to Folder" or by dragging them to a folder in the left menu.

You can also connect the new RefWorks to a Dropbox account if you have one. See instructions in the box to the left.

Deleting a citation or file from All Documents will remove it from all your folders and from Dropbox, so be cautious when deleting!

Sharing folders

RefWorks allows you to share folders of citations and documents with other RefWorks users at UW and beyond--as long as they have a RefWorks account.

Go to the folder you wish to share and click the Share button. To share with an individual, type the email address into the box and select the level of sharing:

  • Can read: Persons with whom you share the folder can read articles or citations posted there.
  • Can annotate: Readers can also highlight and add notes to articles
  • Can modify: Readers can add, edit, or delete citations or articles in folder

RefWorks sends an email to the person(s) with whom you wish to share.You can return to the share dialog to add or remove individuals or to change permissions.

You may share a folder with everyone at UW who has a RefWorks account if you select the institution option. The institutional share is read only. RefWorks does not send an email, but institutional users will see the shared folder in their RefWorks menu.

To stop sharing, select the folder you wish to make private and click on the Share button. Select the option to unshare.
